In the digital age, we constantly receive messages from various platforms asking for support, information, or just a friendly chat. While deploying bots on each platform works to some extent, imagine having one versatile GPT that can aid you in crafting responses across the board! It’s not just about automating replies; it’s about creating a seamless, personalized interaction for every customer.

Getting Started with the Prompt Helper

First things first: to build our customer service GPT, we start with the Prompt Helper. This is an incredibly useful tool available inside our reseller program. Simply hop over to the link provided in today’s training post to access it. Once you’re there, click on "Create Prompt" and input a brief description of your desired task.

Here's what I did: I defined a prompt that functions as a customer service agent, designed to respond kindly and professionally to inquiries received via social media DMs or emails. The goal is to convey empathy and guide the user towards relevant solutions in line with our business voice and values.

Crafting Your Perfect Prompt

Once the initial prompt is set up, we refine it using the craft structure. The context provided to our GPT is that of handling customer communications—whether they are questions, complaints, or compliments—and the task is to respond with a professional, empathetic attitude that builds trust and maintains goodwill.

This prompt becomes the backbone of our GPT, defining the tone and style of communication that matches our agency’s standards.

Personalizing Your GPT

Now, let’s upload all essential materials that reflect our business policies and ethos. I included documents such as our terms and conditions, business plans, and brand playbook. This information helps the GPT tailor responses specifically to our business needs rather than generic replies.

For specific commands, I've defined that when I type "social media," the GPT should prepare itself to respond to a short social media message of fewer than 50 words. For emails, the response length can be up to 100 words, making sure to insert the sender's first name appropriately as a placeholder.

Testing and Tweaking Your GPT Responses

It's crucial to test the GPT extensively to ensure the responses it generates are natural, omitting unnecessary symbols like emojis or hyphens that may make replies seem automated. Iterating through tests allows you to fine-tune the responses until they meet your expectations.

For instance, when I receive a message on LinkedIn asking for a quick reply, my GPT crafts a succinct, friendly response that aligns with our brand’s tone, encouraging further interaction without tedious back-and-forth exchanges.

Evaluating Email Interactions

Handling emails requires precision. The GPT responds to various scenarios, including potential pitches from other businesses. Without additional prompting, it can politely decline offers while maintaining professionalism, a task most of us wish we had more time to perfect manually.
