Simplifying High-Level Account Creation with HL Pro Tools Zap

March 10, 20253 min read

I constantly seek ways to streamline operations and create added value for clients. Today, I want to share an efficient method for creating a High Level account using a webhook, specifically with the HL Pro Tools Zap in Zapier. This guide is particularly beneficial if you're not a developer but need an easy solution to manage High Level accounts.

Introduction to HL Pro Tools and Zapier

For starters, you'll need a High Level SaaS plan to access the advanced API. Instead of the SaaS configurator, we're harnessing the power of the HL Pro Tools Zap, found within Zapier. My team has leveraged this white-label support for almost four years, offering us unbranded library tutorials, features, email, Zoom, and Slack support, and, importantly, innovative zaps that extend beyond typical capabilities.

Setting Up Your HL Pro Tools Account

To get started, visit myvisionagency.com/hlProTools. They provide a fantastic discount: $997 annually instead of $297 monthly, plus access to a wealth of resources. After setting up, locate the HL Pro Tools Zap to automate various processes effortlessly.

Creating a Location and User

Our focus today is creating a location and a user on High Level using the zap. First, you'll trigger a webhook to capture data, vital for the HL Pro Tools Zap. Set it up so when a purchase is made in High Level, the data sends to the webhook and then to the zap.

In High Level, I created a simple automation for when products are purchased. Ensure it's not a SaaS product to avoid duplicate accounts.

Test Your Setup

With your webhook ready, send test data. Connect your product page to your sign-up page, and test the process with a sample profile, such as "Jane Doe." Ensure the transaction completes successfully, confirming the system can receive emails correctly.

On Zapier, test your trigger to connect incoming data from the transaction to the HL Pro Tools Zap. This setup includes creating a location in High Level.

Mapping Your Data

Once the zap receives your test data, map it to the relevant fields: business name, phone number, address, and more. You can even utilize a snapshot-loaded setup for new accounts. This step may include capturing additional data through forms post-purchase.

Once you've tested that the location creates correctly, proceed by adding a user. Map data such as the email address, and decide on a user type—account or agency. For admin roles, map the user's role according to your need.

Finalizing Your Setup

After mapping and testing, publish the zap. Log into High Level to verify that the user has appropriate permissions and access to the necessary tools.
